At Hanver Services, we attach great importance to the protection of the privacy of all persons from whom we collect data. We handle and secure this data with the utmost care, in accordance with the applicable legislation in Belgium.

We make every effort to protect the personal data provided to us against loss, destruction, disclosure, unauthorized access or improper use.

In this privacy statement we explain who we are, when and why we need your personal data, what data we collect, how and for how long we process it, to whom we can pass it on, what your rights are and how you can exercise it.

This privacy statement is intended for you when you:

  • you are a contact person at one of our clients, customers or purchasers of one or more services
  • are a private individual who purchases or wishes to purchase services
  • are a contact person at one of our suppliers;
  • you are a contact person at any body (company, government, professional federation of employers or employees, school, university, partner, ...) with which we (want to) enter into or maintain a form of contact or cooperation and from which we collect personal data.
  • If you choose to voluntarily provide us with information, we will use that information in accordance with this privacy statement.

1. Who are we?

The following company Hanver Services BV, located at Geuzesmissestraat 25B, 8880 Rollegem-Kapelle, is responsible for the processing of your personal data. (in accordance with the GPDR legislation dated 05/2018)

2. When do we collect your personal data?

We collect your data as soon as you provide us with your data. This can be done by e-mail, SMS, orally, by telephone, at an event, during a training course, ... by handing over your business card, via our form on the website or in any other possible way.

We can also collect your data when it has been made publicly available, or when you have made it public yourself on public/social media (e.g. LinkedIn, Facebook) and this shows that you are the right contact person for us to talk to. as part of our services.

C. Why do we need your personal data?

We collect your personal data for the purposes stated below and will not use this data for other purposes without informing you in advance and, if necessary, requesting your consent.

We use your data in the context of the presentation and implementation of our services to you or your company or organization, for the presentation and development of joint projects, partnerships, to represent the interests of Hanver Services or in the context of your services as a supplier or consultant.

More specifically, we use your personal data to, where appropriate,

  • to be able to provide you with information about Hanver's services and other activities and to better tailor these to your needs and wishes or those of your company or organisation;
  • to enter into a business relationship with you or your company or organization, to conclude and maintain a service agreement and to enable the execution thereof;
  • to be able to exchange information with you about our offer as well as the invoicing and accounting processing thereof;
  • approach you for commercial offers, newsletters, events or workshops;
  • to be able to contact you for references;
  • to be able to contact you in your position at a public institution (government, university, professional federation, etc.) to represent the interests of Hanver
  • to monitor and measure the quality of our services. To this end, we, or a third party designated by us, may ask you to participate in surveys, and use and process the information obtained to improve the quality of our services;
  • guarantee operational safety. We may monitor the activities in our systems to prevent the misuse of information from our databases and to protect our interests and those of all individuals included in our databases;
  • to allow you to exercise your rights (see further under point H) and to be able to demonstrate afterwards that we have complied with these rights.

We use and process your personal data, depending on the type of processing, based on:

our (pre)contractual relationship: when we negotiate or conclude an agreement with you or your company or organization, we need a number of data from you or the persons involved in your company or organization in order to be able to submit an appropriate offer and to be able to prepare, draw up and then correctly execute that agreement. If you do not want your personal data to be processed in this context, it is not possible for us to enter into or perform the service.

the legitimate interest of Hanver Services or a third party: if necessary, we use your data to meet the legitimate interests of Hanver Services or a third party. This can be done, for example, to provide and promote all services and/or information messages that are in line with what you can reasonably expect to receive from us in the context of our existing or possible future relationship. This can also be done for access controls or internal controls and audits to ensure the security and continuity of our systems and businesses. This legitimate interest is also present when we need to keep your data in the context of establishing, exercising or defending a possible legal claim.

D. What personal data do we process from you?

In the first instance, we process your personal data that are necessary to enable the correct performance of our services: your surname and first name, your position (title), your professional address and your professional contact details (telephone or mobile number and/or e-mail address). email address).

For private customers, this concerns your private address and the contact details chosen by you where we can reach you (telephone or mobile number and/or e-mail address). In addition, we also need a date of birth and the gender of the participant/consumer.

Additional information is not always necessary, but may be desirable in the context of expanding our business relationship or to better tailor our services and our commercial campaigns to your interests, wishes and needs.

Other data is completely optional and is solely aimed at maintaining a good personal relationship with you (e.g. your hobbies, …). If you choose to share this type of personal information with us, we may process it in our database.

You would do well to inform us of any changes to your personal data as soon as possible.

E. With whom do we share your personal data?

Only if necessary for the achievement of the objectives stated under point C, for the implementation of the agreement existing between us, the fulfillment of a legal obligation (of Hanver Services or of a third party) or the promotion of a legitimate interest (of Hanver Services or from a third party), Hanver Services may transfer certain of your personal data:

  • to all other companies of the Hanver Services group in Belgium, including for:
  • the achievement of the objectives of our business relationship;
  • internal services (administrative tasks, invoicing, customer and supplier accounting, debtor management, ...);
  • promotions and marketing campaigns in the context of our services.
  • Your personal data will not be sold, rented or made commercially available to third parties by Hanver Services, except with your prior consent.
  • In the development of Hanver Services' business, Hanver Services may sell business or assets. In the event of a sale, merger, reorganization, dissolution or similar event, your personal data and other information may be part of the transferred assets.

F. How long do we keep your personal data?

Your personal data will be kept for the time necessary for the implementation of the objectives as described under point C and for compliance with our legal obligations.

G. Security measures?

Hanver Services makes every effort to optimally protect your personal data against unauthorized use. We do this through physical, administrative and technological measures.

For example, only authorized persons are allowed access to our offices and our systems and access is limited to the systems they need for professional reasons. These individuals must know and properly apply our internal privacy and data protection policies. Insofar as data is provided to third parties, Hanver agrees with these third parties that they also optimally protect the personal data.

H. What are your rights?

Hanver Services processes your personal data in accordance with the provisions of this privacy statement. As an involved party, you have a number of rights that you can exercise at any time.

You can exercise the following rights:

Right of objection

You can object to the processing of your personal data. You can only do this against processing that is based on the legitimate interests of Hanver or a third party (see above in point C). When exercising this right, you will have to indicate in the form exactly which processing you object to and for what specific reasons. This is necessary in order to be able to make a correct weighing of interests.

You can easily object to the use of your e-mail address for newsletters, promotions and marketing campaigns from Hanver. In every e-mail you receive from us in this regard, you always have the option to unsubscribe.

Right of Inspection

You can ask for a definite answer about whether or not your personal data is being processed. If this is the case, you can request the following information: the processing purposes, the categories of personal data we store about you, the categories of recipients (third countries or international organisations), the retention periods or the criteria for determining them, your other rights, other sources of origin of your data and the existence of automated decision-making. When providing this information, we must always take into account the rights and freedoms of other persons.

Right to rectification (correction and addition)

You can request that all (personal) data that you consider to be incorrect or incomplete be rectified or supplemented. When exercising this right, you will have to indicate in the form exactly which data you want to correct or supplement.

Right to portability

You have the right to have the personal data that you have provided to Hanver transferred by Hanver in electronic form to yourself (via the e-mail address you provide in your application form) or to another controller designated by you (via his e-mail address). email address you provide in your application form).

In the cases provided for by the GDPR, we will delete your personal data at your request.

Right to restriction of processing

You have the right to have the processing of your personal data restricted when:

We use cookies and web statistics on our websites. We do this to see how visitors use our website. This information helps us to improve the site. A cookie is a file that is stored on your computer. These cookies can be recognized during a subsequent visit to our website.
